Filling the long gaps between races with something guests remember
Race days are long. That's the thing most event planners underestimate when they're putting together a race day hospitality package.
The racing itself — each individual race — takes roughly 90 seconds. A standard race day at Doomben or Eagle Farm runs 8–10 races over 5–6 hours. The gaps between races are where the experience is either made or lost.
Guests who are there for the racing can fill the time with form guides, trackside wandering, and the betting ring. Guests who are there because their employer booked a corporate hospitality package — and that's a large proportion of race day crowds — need something to do. Something structured. Something they'll remember.
A golf simulator activation is built for exactly this format.
Why race days suit simulator activations so well
The dynamics of a race day corporate hospitality event are genuinely unusual in the events world:
Long dwell time. Guests aren't leaving in 90 minutes. They're in the venue for the full afternoon. An activation that generates 8–20 minutes of engagement per guest, with guests returning multiple times across the day, has more opportunity to create value than at almost any other event type.
Well-dressed crowd. Race day guests turn up in their best. The visual premium of the event sets an expectation for what the experience should feel like. A premium hosted activation — full enclosure, professional host, branded leaderboard — matches the setting. A casual corner setup doesn't.
Mixed golf knowledge. Corporate race day hospitality crowds are rarely golf-heavy. They're finance, resources, professional services, and FMCG employees attending a company event. The same inclusivity argument that applies to corporate functions applies here — Awesome Golf works for the crowd that's never held a club.
Sponsor activation opportunity. Race days have sponsors. The naming rights on a golf simulator activation at a race day VIP enclosure — with 200+ guests filing through over a 5-hour day — represent significant brand exposure. Not static-signage exposure. Active, participating exposure. The guest hits a shot at "The [Brand] Longest Drive Challenge" with their colleagues watching. That's a different impression than a logo on a marquee wall.
How the activation runs at a race day
Setup happens before the gates open. We're typically on site 1.5–2 hours before guest arrival, with the inflatable up, calibrated, and running test shots before the first guests walk into the VIP enclosure.
The format we most commonly run at race days:
Longest drive competition: Runs for the full duration of the event. Each guest registers and takes their best shot — measured in metres by the Rapsodo. Results are tracked on a displayed leaderboard. Prize awarded at the end of the day. This format works well across a full-day event because it gives guests a reason to come back after the first race, try to improve their distance, and check their position on the board throughout the day.
Closest to the pin competition: Particularly effective at events with a golf-leaning crowd. A designated par-3 hole is set up in GSPro, guests play the hole, and the closest result across the day wins.
Dual format: Longest drive and closest-to-the-pin running simultaneously, which caters to both the power-oriented guest and the accuracy-oriented one. Works best at larger race day events with higher guest counts.
Our host manages all of it. They welcome guests to the activation, explain the format, log scores, maintain the leaderboard, and ensure the experience matches the premium standard the event has set.
Brisbane Racing Club activations
Eagle Farm and Doomben are both excellent event venues — the VIP enclosures have the space for an inflatable setup, and the crowd profile is exactly right for this format.
If you're planning a race day sponsorship or hospitality event at either venue and want to understand how to integrate a simulator activation into the program, talk to us first — we know the venue logistics.

Gold Coast Turf Club
We cover Gold Coast race days as well. The GCTC runs a strong events calendar and the venue layout suits the inflatable setup in VIP hospitality configurations. Gold Coast race day hire covers the specifics.
Pricing for race day activations
| Package | Duration | Price (ex GST) |
|---|---|---|
| Raceday VIP | Full day (typically 6–8 hours on site) | $3,500 |
The Raceday package reflects the extended on-site time, higher throughput, and the logistics of operating at a larger-scale event. For major race day hospitality packages with sponsor naming rights, the sponsorship packages start at $1,000 and include branded enclosure, leaderboard naming, and staff in client-branded attire.
What to consider when planning a race day activation
VIP enclosure space: Most race day VIP hospitality marquees have adequate space for the inflatable setup. Confirm the usable footprint with the venue before enquiring — 7m L × 5m W × 3.5m H is the requirement.
Power: A single 10-amp power outlet within 20 metres of the activation. Race day venues generally accommodate this without issue.
Timing: Book early. Race day sponsorship and hospitality packages fill up, and so do entertainment suppliers. Months ahead for the main racing calendar events; 6–8 weeks for smaller meetings.
Sponsor branding lead time: Branded assets require 3–4 weeks from logo receipt. If you need a fully branded enclosure, build this into your planning timeline.
